Position Summary:
We are seeking an experienced and dedicated professional to provide travel support for the Company's principals at a leading, privately-owned company with headquarters in Grand Rapids, MI. This position interacts closely with the Executive Office support team and will also support the aviation department by handling a wide variety of coordination and administrative duties, including flight scheduling and plane set up for domestic and international trips. In addition, this role will be responsible for researching, arranging and coordinating travel, transportation and accommodation for domestic and international travel.
The individual in this role must demonstrate a high level of attention to detail, have outstanding organizational skills, utilize strong decision-making skills and be able to prioritize and manage multiple projects simultaneously within a fast paced and frequently changing environment. A high degree of professionalism and the ability to handle confidential information and assignments with the utmost discretion is crucial to this role. Expert level verbal and written communication skills and strong interpersonal skills are essential.

Primary Responsibilities include but are not limited to the following:
- Provide direct travel support for Company's principals, their family members and support team by proactively obtaining information
- Coordinate all flights for Corporate aircraft
- Utilize flight scheduling software, provide electronic trip itineraries and update corresponding calendars to communicate accurate and timely schedule information to travelers, crew and other team members
- Handle domestic and international trip scheduling and aircraft set up /stocking
- Coordinate meetings and events at Corporate Hangar
- Maintain travel profile and preferences database
- Maintain highly sensitive and confidential information
- Ability to adapt and respond to frequent schedule changes
- Bachelor's Degree in Related File (Aviation, Customer Service, Business Management) with a minimum of 1-3 years of flight scheduling experience
- Proficient use of flight scheduling software (FltLogic)
- Experience in making VIP travel arrangements and communicating at C-Suite level
- Long-range, international private aviation scheduling experience
- Proficiency with Microsoft Office Suite, including Outlook, Word, Excel and PowerPoint
- Available outside of regular work hours and maintain voice and internet connectivity
